Preparing an account or project handover

  1. Choose the questions the next owner must be able to answer

What was promised? Which proposal or agreement is being used? Who is still waiting for a response? Start with the active relationships and unresolved work, then identify the correspondence and files that explain them.

Use those questions to choose the handover material. Importing more history helps only if the next owner can find the commitments and work that matter.

  2. Keep relevant history available through an account change

Import an authorized mailbox archive or connect the accounts and folders containing the work. Archive imports provide earlier correspondence; active connections bring in later messages while access remains available.

Choose the emails and files needed for the handover, and who should be allowed to read them. See email and file imports for supported formats and filters.

Important documents and open tasks

Create a useful account or project handover

Create custom email lists using customer references, senders, topics or dates across connected inboxes. Group the relevant messages and documents in Collections, then share a governed view with the next person.

Give the receiving team the access needed to read the internal history. Share a tailored view with managers or other recipients who need selected details.

Transfer the outstanding actions as well

Give every outstanding question or action an owner, a due date where useful and the message explaining it. Keep the latest commitment and answer together as responsibility passes to another colleague.

Let a compatible AI assistant search selected history when that helps the successor answer questions. Choose which emails, fields and files the connection can read.

A handover the next owner can check

Help the new owner find the answers they need

The next owner can find a promised date, open the proposal behind an engagement and see which question is still unanswered. Keep the handover focused on the active work they need to continue.

Record who approved the import and who can access the material. Keep connection and access responsibilities clear for future updates and the next handover.

Common questions

Does importing a mailbox archive keep the old account synchronized?

An archive supplies earlier emails. Connect a supported active account when you also need messages arriving later.

Must every recipient receive the full mailbox?

Choose the correspondence each person needs. Give internal reviewers the appropriate source access and create narrower shared views for other audiences.
